Rostering FAQs for School Staff

If your school district has already chosen to partner with ClassDojo on rostering for the upcoming school year, you can find answers to some frequently asked questions below. If you’re not sure whether your school district is rostering via ClassDojo, please see this article to find out!

What will rostering do?

Rostering imports data from your district’s Student Information System (SIS) to streamline ClassDojo setup and management, saving you time. We’ll import students, classes, enrollments, staff, and even families!

⚠️ Teachers can add or remove students from their own classes, but not from the School Directory itself. School-wide student data is managed via SIS.

How does rostering affect different parts of ClassDojo?

Students

Rostering via ClassDojo means that all students in the ClassDojo School Directory will be synced with what’s available in the district’s Student Information System (SIS). The SIS will become the sole method of populating the ClassDojo School Directory, and you won't need to manually manage the Directory ever again!

Teachers and staff will no longer be able to create new students or remove them manually in ClassDojo. If changes need to be made, please contact your SIS administrator.

However, teachers can still update student names within ClassDojo, even if they were imported from the SIS with a different name. These names will stay in ClassDojo. Furthermore, if you need to add a student to a class, you can still add students from the School Directory.

Classes & Enrollments

If your classes are stored within the SIS, then your class and its participants will automatically populate directly within your account. If your class and the corresponding participants are not stored within the SIS, you will likely need to create your class on your own and manually add the appropriate students from your School Directory, or invite co-teachers manually.

Rostered classes can still be archived as needed. This will be especially helpful if your district is creating classes for each elementary school subject.

If incorrect students are listed in your class, you can still remove them from your class. However, we recommend informing your SIS administrator so they can correct this information within the SIS as well.

Staff members with personal classes won’t be able to transfer those classes to the School Directory if there are already students connected to the class. The best option will be to archive the personal class, recreate the class as a school-owned class, and import the rostered students into the class from the School Directory.

Staff

School staff who already have an account on ClassDojo will be unaffected. If a staff member leaves the district, they’ll be automatically removed from the school in ClassDojo.

School staff who have never used ClassDojo will be auto approved when they attempt to join the school. Some schools may also elect to send schoolwide invites to all teachers.

If there are staff members who aren’t included in the district’s SIS but need access to ClassDojo, school leaders can still invite and approve these additional staff to join their ClassDojo community as needed.

Parents

Parents who already have an account on ClassDojo will typically be unaffected, though they’ll see their students' connections change automatically as their class assignments change with each year. Parents may also have their access updated if their SIS status changes.

Parents who have never used ClassDojo may receive an invite in schools that elect to invite all parents.

If there are parents or other family members who aren’t included in the district’s SIS but need access to ClassDojo, teachers can still invite and approve these additional family members to join their ClassDojo classes as needed.

If a parent’s email address on ClassDojo is different from their email in the SIS, we’ll issue new invites to their SIS contact information.

How often does the SIS sync?

ClassDojo will sync with your district’s SIS every day.

What if I’m both school staff and a parent?

Please ensure that you use different email contact information for each record in the SIS. You should use your work email for your teacher account and your personal email for your parent account.

You’ll need two separate accounts on ClassDojo: a teacher account and a parent account. Each should be rostered just like a standalone teacher or parent.

What if my class is missing or empty?

Are students back in school yet? If not, your district may be waiting until students return to share student-to-class assignments with us. These records will likely populate as we get close to student return.

If students have returned, please see your SIS administrator and confirm whether your classes have students assigned to them in the SIS.
