The following describes how ClassDojo (including Dojo Tutor) uses AI Tools for its internal purposes only (e.g. for non-child user account security or trust and safety purposes) or for outward facing customer service purposes (“Dojo AI Internal Tools”). ClassDojo and Dojo Tutor are collectively referred to as “ClassDojo” for purposes of these Dojo AI Internal Tools (unless otherwise specified (e.g. if only used in connection with Dojo Tutor). Introduction
ClassDojo is committed to continually enhancing our platform to provide the best possible tools to protect our users safety and help our employees provide better service to our users. In pursuit of this goal, we are utilizing certain artificial intelligence (“AI”) technology both internally and for customer support and relationship management purposes. ClassDojo has partnered with Large Language Model (LLM) service providers Open AI and Anthropic (“LLM Service Providers”) in connection with these Dojo AI Internal Tools. In addition, Dojo Tutor works with a service provider to provide customer support services to Dojo Tutor’s parents and other adult users, including through the use of an external facing chatbot (or through responding to support tickets sent in through emails or SMS) that in turn integrates with a LLM subprocessor, Open AI, and may choose to directly integrate with an LLM Service Provider in the future to provide this customer support function (“Customer Service Inbound AI Tools”). In addition, Dojo Tutor works with certain service providers to provide sales and other customer relationship management (CRM) and these tools may integrate directly with (or we may send certain user information obtained in connection with these functions to) our LLM Servicer Providers (“Customer Service Outbound AI Tools”). The Customer Service Inbound AI Tools and the Customer Service Outbound AI Tools are collectively called the “Customer Service AI Tools”. The Customer Service Inbound AI Tools notify parents to the fact that they are interacting with AI. The Dojo AI Internal Tools and Customer Service AI Tools are collectively referred to as “Dojo AI Internal Tools” unless specifically noted.

As part of our ongoing commitment to transparency and responsibility in handling your data, we are providing the following information on our Dojo AI Internal Tools and the choices you have with regard to them. In addition, ClassDojo supports the Education Technology Industry’s Principles for AI in Education to ensure safe and responsible use of data in AI technology. ClassDojo was deeply involved with the development of the Principles as a member of the AI Education Steering Committee. By aligning with these principles, we aim to harness the power of AI technology to enrich the learning experience for all our users while upholding the highest standards of privacy, security, and ethical conduct. Read more about the Principles for AI in Education here that are intended to help guide the industry’s development of responsible AI that meets the needs of students, educators and families. ClassDojo is also a member of the EdSAFE AI Industry Council and supports the principles of the SAFE Framework- Safety, Accountability, Fairness & Efficacy in AI.
As part of our commitments, ClassDojo does not allow any AI third-party service provider (e.g. OpenAI or Anthropic) it may utilize to provide the service, to use any information (personal information or de-identified) to train, improve, or develop their AI systems. ClassDojo also does not use any children’s personal information contained in any Inputs, Prompts, or Output to train any of ClassDojo’s AI systems.

How ClassDojo Uses Dojo AI Internal Tools
ClassDojo may choose to utilize certain Dojo AI Internal Tools (e.g., to help with customer service inquiries, customer relationship management, assist with trust and safety or to enhance our security). In connection with this use, ClassDojo may utilize certain text, photo and video content which may contain student, parent and teacher personal information (“Input”) to add into the Dojo AI Internal Tools. If any student (or child) personal information is used to provide the Input for the Dojo AI Internal Tools, it will only be used for ClassDojo’s internal purposes to enhance security or for trust and safety and will not further be used, unless a parent separately provides their child’s personal information in connection with any Customer Service AI Tools when interacting with a Dojo AI Internal Tools. The Customer Service AI Tools are not intended to (and should not) be used by children. More details are provided below.
Customer Service AI Tools
The Customer Service Inbound AI Tools include information that parents (and other Dojo Tutor adult end users)(“Dojo Tutor Adult Users”) provide as Input into either a chatbot or a help center channel (e.g. email or SMS) to then more quickly and efficiently generate answers (what is called “Output”) based on internal support documentation and other information connected to this user’s account (e.g. name, email, etc.) provided by Dojo Tutor. In connection with this, the service provider, Decagon, or the one of ClassDojo’s other service providers (e.g. Zendesk), will collect information from Dojo Tutor Adult Users. Next Decagon (or ClassDojo) will facilitate delivery of this information and the additional Dojo Tutor provided information (Inputs) along with certain “prompts” to an AI subprocessor, (e.g. Open AI or Anthropic), solely to be processed to provide the Output. See the chart below for more information in the Inputs, Prompts and Output. In addition, in connection with the Customer Service Outbound AI Tools, Dojo Tutor may provide certain information (which may include personal information) that a parent or other adult user has provided to Dojo Tutor in connection with the Customer Service Inbound AI Tools or in connection with other inquiries (e.g. prospective customers inquiring about tutoring sessions), directly to our LLM Service Providers to better assist our internal teams with responses (or for the LLM Service Providers to provide fully automated Output that Dojo Tutor (or our service providers (e.g. Close.io) will use to directly respond to these individuals).
This Input data will only be shared within the context of a support interaction that the Dojo Tutor Adult User initiates - such as through a chatbot or through another support channel (e.g. email or SMS) - and will only be used by Dojo Tutor or by our service provider (Decagon) and their LLM subprocessor, Open AI, or Dojo Tutor’s LLM Service Providers solely to (i) provide the Dojo Tutor Adult User with the customer support the Dojo Tutor Adult User is requesting or; (ii) follow-up on customer relationship matters (e.g. negative reviews or positive reviews or follow-up from trials of the tutoring service). The service provider will then facilitate delivery of the Output from an LLM Service Provider back to the Dojo Tutor Adult Users (and may provide non-substantive changes to the Output prior to delivery). Additionally, the service provider may create Help Center tickets for escalated conversations with Dojo Tutor Adult Users (i.e. chats or other support interactions where a Dojo Tutor Adult User needs more information from a human) (“Help Center Chat Tickets”) by populating the Help Center Chat Tickets with the Inputs and Outputs collected during the Dojo Tutor Adult User chat session into the appropriate Help Center fields along with other predefined information set by Dojo Tutor. Input, Prompt, and Output data processed by Decagon’s LLM sub-processor (Open AI) or ClassDojo’s LLM Service Providers are retained only transiently to provide the service and for trust and safety purposes; then deleted immediately upon creation of the Outputs. Data use and retention is additionally governed by a Zero Data Retention contract between the service provider (Decagon) and Open AI for the Dojo Tutor Customer Service AI Tools or between Dojo Tutor and the LLM Service Providers. In connection with the Customer Service Inbound AI Tools, The service provider (i.e. Decagon) that provides the Customer Service AI Tools, retains the Input, Prompts and Output until such time as Dojo Tutor requests deletion. Their AI-subprocessor, Open AI, would retain this information only transiently as further indicated below. For Customer Service Outbound AI Tools, Dojo Tutor will provide the Dojo Tutor Adult Users’ information directly to our LLM Service Providers and then provide the Output returned from our LLM Service Providers directly to our CRM service providers (e.g. Close.io).

AI Insights on Information Collected from Children
Below we provide more details on personal information collected from children that may be used in connection with the Dojo AI Internal Tools.
Tutoring Session Transcripts
With parental consent, Dojo Tutor records the tutoring sessions that take place over Zoom between learners and tutors. These recordings are automatically deleted after 14 days by Zoom (unless we are required by law to retain it, need it to ensure the security of our community or our Service, or to enforce our Terms). Within this 14-day retention period, Dojo Tutor has these video recordings transcribed through the use of its service provider (“Tutoring Session Transcripts”). Additionally, within the 14-day period in which Zoom retains these recordings, Dojo Tutor may download from Zoom and store them on ClassDojo’s servers for so long as the learner’s account is active to keep our platform safe and secure.
Dojo Tutor shares only the audio portion of the Zoom recordings of tutoring sessions between the learner and tutor with the service provider and ensures that the audio recordings are retained to provide the service and deleted upon creating the Tutoring Session Transcripts. Additionally, Dojo Tutor ensures that the audio recordings can not be used by the service provider for any other purpose. Dojo Tutor also ensures that the service provider can’t retain the Tutoring Session Transcripts for more than thirty (30) days, and can be deleted earlier upon request by Dojo Tutor.
AI Insights on Tutoring Session Transcripts and Additional Non-Identifying Text-Based Information About Learners
Dojo Tutor obtains parental consent prior to allowing any AI processing on children’s personal information (or the disclosure of any children’s personal information to any service provider to perform this processing). Dojo Tutor utilizes integrated LLM Service Providers to perform certain AI related functions upon these Tutoring Session Transcripts as well as on the additional limited text-based non-identifying information indicated in the chart below (e.g. first name only, grade and tutoring subjects) (“Non-Identifying Text-Based Information”) in order to obtain AI-generated insights for trust and safety purposes (e.g. the LLM analyzes the tickets for any indications of situations that should be escalated) on the tutoring sessions between our learners and tutors.
The various AI trust and safety-related functions performed on the Tutoring Session Transcripts and Non-Identifying Text-Based Information are done through the use of Dojo Tutor-directed instructions or “prompts” to the LLM Service Providers (“Prompts”). These text-only Tutoring Session Transcripts and Non-Identifying Text-Based Information are sent to the LLM Service Providers so as not to identify the learner (however, the learner’s name may be included within the Tutoring Session Transcript itself if identified in the tutoring session). The LLM Service Providers then process the text-only Tutoring Session Transcripts and Non-Identifying Text-Based Information (Inputs) and Prompts to produce an AI-generated result called the “Output” based on those Inputs and Prompts.
The LLM Service Providers return the result or “Output” to Dojo Tutor to allow Dojo Tutor to review in connection with the trust and safety actions that may be taken (e.g. provide human input). Input, Prompt, and Output data processed by the LLM Service Providers are retained only transiently to provide the service and for trust and safety purposes; then deleted immediately upon creation of the Outputs.
AI Insights on Non-Children Information
In addition to the use of certain limited children’s information described above and used by Dojo Tutor for trust and safety purposes, ClassDojo may also use certain Dojo AI Internal Tools to assist with other internal business functions within the Services that do not involve children’s personal information, but that may use parent, teacher or other adult user personal information (e.g. to assist with verifying the identity or age of adults or providing additional security on the platforms)(“Non-Children Information”).
The various AI-related functions performed on the Non-Children Information are done through the use of ClassDojo-directed instructions or “Prompts” to the LLM Service Providers (e.g., “scan to review for illegal or harmful content”). The Non-Children Information is also sent to the LLM Service Providers and the LLM Service Providers then process the Non-Children Information (Inputs) and Prompts to produce an AI-generated result called the “Output” based on those Inputs and Prompts. The LLM Service Providers return the result or “Output” to ClassDojo. Input, Prompt, and Output data processed by the LLM Service Providers are retained only transiently to provide the internal ClassDojo service and for trust and safety purposes; then deleted immediately upon creation of the Outputs.
What Information is Used to Provide the Dojo AI Internal Tools
In serving these Dojo AI Internal Tools, ClassDojo leverages the following information:
- Inputs from non-child users, including Dojo Tutor Adult Users, in connection with certain account security or customer service-related functions (e.g. from teachers, such as their phone number for identity verification purposes; or from parents who provide details during customer service-related interactions).
- Inputs generated from information collected from children using Dojo Tutor for trust and safety purposes (e.g. the Tutoring Session Transcripts created from video tutoring sessions).
- Prompts or instructions from ClassDojo, such as “Write a response to the user”.
- Outputs which include AI-generated responses and actions to take once confirmed by the user (e.g. issue a refund).
All information provided to the LLM Service Providers are securely transmitted to the LLM Service Providers for processing, stored transiently in the United States, and encrypted both in transit and at rest. Our data retention policies ensure Inputs, Prompts, and Output are deleted after processing by the LLM Service Providers, and that Outputs retained by ClassDojo are safeguarded and stored securely in alignment with ClassDojo’s existing policies.
The following charts provide more detail on the information used to provide the various Dojo AI Internal Tools (broken down into our internal tools and customer service tools) as well as the processes or “Prompts” performed on the “Inputs” to obtain the results or “Output”. We will update this chart as we update our features, including to 1) provide schools with the information necessary for them to act as the agent of a parent and provide any necessary consent under the Children’s Online Privacy Protection Act and its implementing regulations under the Children’s Online Privacy Protection Rule (collectively “COPPA”) or to otherwise approve this use of the Dojo AI Internal Tools under applicable laws and regulations for any student personal information that is used (for example, under state student privacy laws and the Family Educational Rights and Privacy Act (“FERPA”); or 2) provide parents with additional information and seek additional parental consent under COPPA for any children’s personal information that is used not in connection with school use.

How ClassDojo Uses Information in connection with the Dojo AI Internal Tools
Dojo Tutor
Dojo Tutor uses Tutoring Session Transcripts (text only), Non-Identifying Text-Based Information, and Non-Learner Information as “inputs” to generate AI insights through the use of integrated LLM Service Providers, in connection with the Dojo AI Internal Tools. At the specific direction and instruction of Dojo Tutor, the LLM Service Providers will perform certain AI-related functions upon these Tutoring Session Transcripts, Non-Identifying Text-Based Information and Non-Learner Information in order to obtain certain AI-generated insights for trust and safety purposes to produce the AI Outputs. The various AI-related tasks performed are done through the use of Dojo Tutor-directed instructions or “Prompts” to the LLM Service Providers (e.g. “produce a trust and safety report”). To protect the privacy of users, Dojo Tutor does not share any direct identifiers of tutors or learners (except to the extent that any direct identifiers are included within the Tutoring Session Transcripts).
Data obtained from the AI Outputs, Tutoring Session Transcripts, Non-Identifying Text-Based Information, and Non-Learner Information may be accessed, processed and used by Dojo Tutor to keep our platform safe and secure. For example, the Tutoring Session Transcripts will be sent to the LLM Service Providers to create trust and safety reports to assist Dojo Tutor’s customer support team members. ClassDojo and Dojo Tutor
ClassDojo adult users may provide certain information or content into the Dojo AI Internal Tools (e.g. the Inputs) and which may contain children’s or student personal information (if the adult provides the information in connection with their use). Additionally, ClassDojo will provide a set of instructions or “Prompts”. ClassDojo will then send both the Input and Prompts to an integrated LLM Service Provider (e.g. OpenAI or Anthropic), to perform certain AI-related functions upon the Input in order to produce AI-generated responses on the Input called “Output”. To protect the privacy of users, ClassDojo does not otherwise share any direct identifiers of children or students to the LLM Service Provider (except to the extent that any direct identifiers are included within the adult user-provided Input). If any student (or child) personal information is used to provide the Input for the Dojo AI Internal Tools, it will only be used for ClassDojo’s internal purposes to enhance security or for trust and safety and will not further be used, unless a parent separately provides their child’s personal information in connection with any Customer Service AI Tools when interacting with a Dojo AI Internal Tools. The Customer Service AI Tools are not intended to (and should not) be used by children.
Data obtained from the Inputs, Prompts and Outputs may be accessed, processed and used by ClassDojo to provide, improve (as allowed by law) and maintain the Service, perform internal analysis (including to provide metrics and data logs or activity records needed for measuring up/down time and debugging the tools), and keep our platform safe and secure. For more information on the “Input” and “Prompts” used to generate the AI insights, the information shared with the LLM Service Provider, and ClassDojo’s use of AI, please see our table above.
ClassDojo and Dojo Tutor do not use any children’s or student’s personal information contained in any Inputs (including Tutoring Session Transcripts), Prompts, or Output to train any of ClassDojo’s or Dojo Tutor’s AI systems. ClassDojo and Dojo Tutor will only train our AI systems with children’s data that has been de-identified in such a way that it is not traceable to any ClassDojo user. Additionally, ClassDojo and Dojo Tutor do not allow any LLM Service Provider or AI third-party service provider it may utilize to use any information (personal information or de-identified) to train, improve or develop their AI systems. This commitment includes the information contained in the charts above, such as the Tutoring Session Transcripts, used to provide the AI Outputs.
Your child's data (or you if you are a parent, teacher or tutor) used to provide the “inputs” (e.g., the Tutoring Session Transcripts or customer support inquiries) will only be transiently retained by the LLM service providers, to provide the service to ClassDojo and Dojo Tutor. To ensure this, ClassDojo has entered into a specific contract with both Anthropic and OpenAI for “zero data retention” for the Dojo AI Internal Tools mentioned above. This means that the Prompts, Input and Output (a) will not be logged for human review by OpenAI or Anthropic and (b) will not be saved to disk or retained by OpenAI or Anthropic. How We Work With Trusted Service Providers in Connection with the Dojo AI Internal Tools
To enable these Dojo AI Internal Tools on the ClassDojo and Dojo Tutor platforms, ClassDojo (or through its service provider (e.g. Decagon)) work with trusted LLM Service Providers Anthropic and Open AI. In engaging with these third party service providers, ClassDojo remains committed to upholding our values of transparency, accountability, fairness, and safety in the use of user data in AI technology.
How Can Parents Opt Out After Providing Consent?
Dojo Tutor
If you, as the parent or guardian that has previously provided consent for your child’s personal information to be used in connection with Dojo Tutor’s AI Internal Tool use, would like to at any time prevent its further use, you have the right to opt out of Dojo Tutor’s use of your child’s Tutoring Session Transcripts for use in the Dojo Tutor AI Internal Tools by directing us to delete your child’s Tutoring Session Transcript. Additionally, you may request deletion of any personal information contained in the AI Output generated from the Tutoring Session Transcripts. Please keep in mind that a request to delete information may affect your child’s ability to access the Services or use certain features. Please be aware that to protect children’s privacy and security, we take reasonable steps to verify a parent or legal guardian’s identity before gaining access to any of their child’s personal information. ClassDojo and Dojo Tutor
Use of the Customer Service AI Tools by parents is optional and are not intended to (and should not) be used by children. Our Customer Service AI Tools and not offered directly for children under the age of thirteen (13) to use, and we request that such individuals do not provide personal information (and you as the parent agree to such limitations), as such, we do not obtain COPPA consent in connection with the Customer Service AI Tools. Additionally, we do not knowingly collect (or knowingly allow any third party to collect) or maintain personal information from anyone under the age of 13 in connection with our Customer Service AI Tools. If we become aware that a child under 13 has provided us with personal information or that personal information has been collected from a child under 13 in connection with the Customer Service AI Tools, then we will delete this information from our files as quickly as possible. If you are the parent or legal guardian of a child under 13 who you believe has provided personal information to ClassDojo in connection with the Customer Service AI Tools, please send an email to ClassDojo at privacy@classdojo.com to have that child’s information deleted.
For any other Dojo AI Internal Tools, if any student (or child) personal information has been provided by an adult user of the services and is used to provide the Input for the Dojo AI Internal Tools, it will only be used for ClassDojo’s internal purposes to enhance security or for trust and safety and will not further be used, unless a parent separately provides their child’s personal information in connection with any Customer Service AI Tools when interacting with a Dojo AI Internal Tools.
Limitations of Dojo AI Internal Tools
While these Dojo AI Internal tools mentioned above are designed to support our internal and external users and provide additional customer support, security, as well as trust and safety features, it is crucial to recognize that the AI-generated content and solutions provided by our platform are not perfect and are based on and limited to the data the AI has been trained on. As a result, there may be instances where the AI’s outputs might not fully grasp the nuances of a new or complex problem, leading to potential inaccuracies, incorrect or misleading information, or misinterpretations.
